Deep Sea Cargo — Privacy Policy

  1. Who we are

Deep Sea Cargo ships goods for traders from our warehouses in Guangzhou, China to Monrovia, Liberia. Our office in Liberia is in Monrovia. You can reach us at our office or on the phone and WhatsApp numbers shown on our website.

This policy explains what information we keep about you, why we keep it, who can see it, and what you can ask us to do with it. It covers our website, the customer account ("the portal"), our WhatsApp messages, and the records our staff keep when they handle your goods.

  1. What we keep about you

Your details: your name, your phone number (and a second number if you give one), your business name and address, and the customer code we give you (for example DSC-C-0006).

Your goods: what you hand to our warehouse and when: the receipt, each line (the kind of goods, how many bags or pieces, any lot number), the measurements we take, which container or flight your goods travel on, and where they are now.

Money: your invoices, the payments you make (amount, date, method, and any reference you give), money we pay on your behalf (disbursements, including who we paid), and your balance.

Collection: when your goods are handed over, and the name of the person who collected them, if they give one.

Your online account, if you have one: the times you sign in, and the temporary sign-in codes we send or give you. A code works once, expires after 10 minutes, and is deleted within a day.

WhatsApp: whether you agreed or refused to receive our messages, when, and which member of staff recorded it; the messages we send you and whether they were delivered or read; and your reply if you send STOP.

Tracking on our website: anyone can type a tracking number on our website. We do not ask who you are. To stop abuse, we briefly count requests from each internet address, and those counts delete themselves.

We do not collect your date of birth, your ID documents or your bank card details, and we do not use advertising or tracking tools on our website or in the portal.

  1. Why we keep it
  • To ship your goods: receiving, measuring, loading, tracking and handing them over.
  • To bill you correctly: invoices, payments, disbursements and your statement.
  • To keep you informed: in the portal and, only if you agreed, by WhatsApp.
  • To keep proper records: the law and our accounts require us to keep records of goods and money.
  • To protect you and us: for example, recording who collected goods and why goods were released with money still owed.

4. Who can see it

Our staff, each only for their own job. Warehouse staff see your goods but never your money. Only our owner and our finance staff see invoices, payments and balances. Staff in one warehouse can only change the records of their own warehouse.

Other customers never see your information. When your goods share a bale with another customer's goods, neither of you sees the other.

Companies that run parts of our service for us:

  • Vercel hosts our website and portal.
  • MongoDB Atlas stores our database.
  • Meta (WhatsApp) delivers our WhatsApp messages. The message and your phone number pass through WhatsApp, under WhatsApp's own privacy policy.

These companies store and process information for us. They may do so on servers outside Liberia. They are not allowed to use it for their own purposes.

Authorities, when the law requires it, for example customs or tax authorities.

We never sell your information, and we never share it for advertising.

  1. WhatsApp messages

We only send you status messages (goods received, sailed, arrived, ready to collect, your invoice, your payment, goods collected) if you agreed at our counter. To stop them, reply STOP to any message, or use "Stop WhatsApp messages" in your account. To start them again, ask at our counter.

Sign-in codes are sent only when you ask for one, even if you have stopped the other messages.

  1. Cookies and your phone

The portal uses only the cookies it needs to work: one that keeps you signed in, and one that remembers your language. There are no advertising or tracking cookies.

The portal keeps one copy of your home screen on your phone, so you can see it without a connection. It is erased when you sign out.

  1. How long we keep it
  • Sign-in codes: deleted within a day.
  • Request counts on the website: they delete themselves within minutes.
  • Records of your goods, invoices and payments: for as long as the law and our accounts require.
  • Your details, if you stop using us: only as long as they are needed for those records.
  1. Keeping it safe

Your account is protected by one-time codes, not passwords that can be guessed or reused. Sessions end when you sign out, and you can sign out on all phones at once. Our staff each have their own account, limited to their job. The information travels encrypted between your phone and our servers. No system is perfectly safe, but we work to keep your information secure, and we will tell you if something goes wrong that affects you.

  1. Your choices and rights
  • See your information: your account shows your goods, invoices, payments and collections. Ask at our counter for anything else we hold.
  • Correct it: ask at our counter to fix your name, phone or address.
  • Stop WhatsApp messages: reply STOP, or use your account.
  • Close your online account: ask at our counter. Your access ends on every phone at once.
  • Ask us to delete information: we will delete what we are not required to keep. Records of goods and money may have to be kept for the period in section 7.
  • Complain: contact us at our office or on our WhatsApp number. You may also contact the relevant authority in Liberia.
  1. Children

Our service is for traders and businesses. We do not knowingly keep information about anyone under 18.

  1. Changes to this policy

When we change this policy, we publish the new version here with its date, and your account asks you to accept it the next time you sign in.
